Treat Each Deposit Status as a Different Event
Declined, pending and reversed do not mean the same thing. A decline normally stops before credit, a pending payment is unresolved, and a reversal returns or releases a previously reserved amount. The exact cashier and provider wording determines the next check.

Check the cashier message and the payment provider notice. Verify limits, currency, holder name and required authentication before trying again. Rapid retries can create duplicate authorisations; do not change several fields at once without understanding the original decline.
Pending: preserve the open reference
Record the operator transaction ID, provider reference, amount and time. Check whether the bank shows a pending authorisation or a completed debit. Do not submit an identical payment while the first remains unresolved, because two successful clearings can follow.
Reversed: reconcile the destination
A reversal may release a card authorisation or post a return as a separate entry. Compare available balance and statement history, not only the original line. Record the reversal date and reference before reporting that the money has not returned.
Escalate expected versus actual
State which system shows which status and what outcome is missing. Mask unrelated transactions and full account numbers. One case containing both references gives support a cleaner trace than several tickets saying only that a deposit failed.
